1. Overview
Vecty Inc. ("Vecty", "we", "us", or "our") is committed to protecting the confidentiality, integrity, and availability of your information. This Privacy Policy explains how we collect, use, disclosure, and safeguard your information when you visit our website or use our services.
2. Information We Collect
We collect information that allows us to provide our AI-powered bookkeeping and tax services, including:
- Account Information: Name, email address, company name, and login credentials.
- Financial Data: Bank feeds, transaction history, payroll records, and tax documents required to manage your books.
- Voluntarily Disclosed Data: Information you choose to provide during the sales or demo process, such as sample financial statements or access to data repositories, which we use solely to evaluate your needs.
- Usage Data: Information about how you interact with our platform, such as access logs and feature usage.
Shopify store data
If you install the Vecty app from the Shopify App Store and connect your store, Vecty reads the following from Shopify on your behalf, using read-only permissions granted by you at install:
- Orders: order totals, tax, shipping, discounts, refunds, line items, and the customer name, email address, and billing and shipping address attached to each order.
- Shopify Payments payouts: balance transactions with gross, fee, and net amounts and their payout association.
- Store profile: store name, myshopify domain, currency, timezone, and plan.
This data is used only to keep your books: recording revenue, sales tax, and fees and reconciling payouts against the deposits in your bank feed. Vecty never writes to your store, never contacts your customers, and does not use buyer information for marketing. See Section 5 for how Shopify data is retained and deleted.
3. Website Analytics and Cookies
On our public website (vecty.ai) we use third-party analytics to understand how visitors find and use the site, so we can improve it. This is separate from the data we process on behalf of customers inside the platform.
- Google Analytics 4: sets cookies and records pages viewed, approximate location derived from IP address, device and browser type, referring site, and campaign parameters in the URL. We also record anonymous interaction events - which calls-to-action are clicked, how far down a page you scroll, how long a page is in view, and the results produced by our free calculators. Calculator inputs are recorded only in rounded or banded form and never include your name, email address, or any free text you type.
- Microsoft Clarity: records how visitors move through pages, including mouse movement, clicks, and scrolling, and reconstructs those sessions for playback and as aggregate heatmaps. Clarity automatically masks text input, and we do not use it to identify individual visitors. Clarity's own bot detection also helps us distinguish automated traffic from real visitors.
- Cloudflare: serves our website and processes request metadata, including IP address, for security, bot mitigation, and performance.
These tools are used for analytics and security only. We do not run advertising pixels and we do not sell or share website analytics data with advertisers. You can opt out of Google Analytics using Google's browser add-on, opt out of Clarity via the notice on clarity.microsoft.com, and block analytics cookies through your browser settings; the website works normally either way. To request deletion of website analytics data associated with you, contact us at the address in the Contact Us section below.
4. How We Use Your Information
We use the collected data for the following purposes:
- To provide and maintain our services, including bookkeeping, tax preparation, and financial reporting.
- To detect and prevent fraud or unauthorized access.
- To communicate with you about your account, updates, and support inquiries.
- To comply with legal obligations (e.g., IRS regulations, state labor laws).
5. Data Retention
We retain your personal and financial data only as long as necessary to fulfill the purposes for which it was collected and to comply with legal requirements:
- Financial Transactions & Ledgers: Retained for 7 years (per IRS/Audit requirements).
- Payroll Records: Retained for 6 years.
- General Account Data: Retained for the duration of your service plus a grace period of 30 days after deletion request, unless a longer period is required by law.
- Shopify Store Data: Retained while your store is connected, because synced orders and payouts are part of your accounting records. When you uninstall the app, Shopify sends us a deletion request 48 hours later and we delete all data sourced from that store. When a buyer asks Shopify to erase their data, we erase their name, email address, and addresses from the affected orders while keeping the anonymous financial totals required for accounting records. Buyer data-access requests received through Shopify are fulfilled within 30 days.
6. Security
We employ industry-standard security measures to protect your data, including:
- Encryption: Data is encrypted in transit (TLS/SSL) and at rest.
- Access Control: We enforce strict role-based access controls and the principle of least privilege. Only authorized personnel have access to production data.
- Multi-Factor Authentication (MFA): Required for administrative access to our systems.
7. Sharing Your Information
We do not sell your personal data. We may share your information with:
- Service Providers: Third-party vendors who assist with hosting, payment processing, or customer support (bound by strict confidentiality agreements).
- Legal Authorities: If required by law, court order, or government regulation.
8. International Data Transfers
Vecty is headquartered in the United States. If you are accessing our services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the U.S. where our servers are located. By using our services, you consent to any transfer of this information.
9. Your Rights
Depending on your location, you may have the right to:
- Access specific personal information we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data (subject to our legal data retention obligations).
